Managing digital assets can become overwhelming, especially when dealing with large portfolios. Our System Categories feature is designed to help you efficiently categorize and manage your assets based on their relevance and importance. This article will walk you through setting up and using System Categories, including Significant Assets, Not to be Booked Assets, and Spam, to streamline your asset management processes.
Why Use System Categories?
System Categories allow users to group assets into meaningful clusters that enhance focus and operational efficiency:
- Simplify Data Management: By categorizing assets into Significant, Not to be Booked, and Spam categories, you can prioritize what matters most and reduce noise from irrelevant data.
- Improve Accounting Accuracy: Ensure only relevant assets are booked and maintain a clean balance sheet by categorizing immaterial or spam assets correctly.
How to set up system categories
Significant Assets
- Navigate to the 'Assets' Module on the left side navigation bar

Build Your Significant Assets List:
- From the Assets Overview, select assets using helpful filters:
- Value, Cost Basis, Volume, and Unrealized Gains/Losses.
- Use these filters to narrow down assets that are material to your financialoperations.
- Select each or select all from the filtered Asset list.
- Click ‘Add to Significant Assets’ to include selected items in the category.
- From the Assets Overview, select assets using helpful filters:
- Alternatively, use the System Categories tab:
- Here, you’ll see categories like Significant Assets and Not to be Booked. Note that these categories can be edited but not deleted.
- Click Edit next to Significant Assets.
- Use the Paste Multiple feature to quickly add multiple assets.
Not to Be Booked Assets

Identify Non-Bookable Assets:
- From the Assets Overview, select assets you do not want included in the general ledger.
- Click ‘Mark as Not to Be Booked’ to add them to the category.
- Access and edit this list in the System Categories module.
⚠️ Workflow Impacts:
Assets marked as Not to be Booked are automatically excluded from the general ledger, ledger entries, and other booking processes, preventing errors in financial reporting.
Spam Category

Manage Spam Assets:
- Spam is now treated as a distinct category.
- Confirmed spam assets are listed in the System Categories view, where you can review and manage them.
- Assets can be removed from the spam list by selecting ‘Mark as Legitimate’.

Potential spam in Asset Overview:
- Spam and Potential Spam tags are visible in the Category column, providing a clear distinction of asset relevance.

System Categories are integrated throughout the platform to streamline your workflows:
- Dashboard: Toggle to filter significant assets in Liquid Asset and Top Wallet cards.
- Transactions Page: Use filters to view only significant assets or exclude those not to be booked.
- Reports Module: Apply category filters to generate reports focused on significant or excluded assets, improving the accuracy and relevance of your financial reporting.
- COA (Chart of Accounts): Easily map prioritized assets, ensuring they align with your financial strategies without manual overrides for not to be booked assets.
